Terms & Conditions

The Standards, Booking Conditions, Payment Schedules, and Culinary Service Commitments of Four Winds Catering.

Last Updated: September 2026 • Version 3.1

Section 1.0

1. Contract Formation & Scope

These Terms and Conditions ("Terms") govern all bespoke catering, beverage service, private chef dining, equipment hire, and event coordination services provided by Four Winds Catering ("the Caterer", "we", "us", or "our") to the individual, couple, or corporate entity ("the Client", "you", or "your").

1.1 Quotation Validity

All written quotations, digital cost estimates, and custom event proposals submitted by Four Winds Catering remain valid for 30 calendar days from the date of issuance. Following this period, proposals are subject to review based on seasonal ingredient availability and current operational tariffs.

1.2 Binding Agreement

A legally binding contract comes into existence only upon receipt of the written booking confirmation along with the required non-refundable deposit. Submission of a proposal request or initial consultation does not constitute a guaranteed date reservation.

Section 2.0

2. Booking, Deposits & Confirmations

To ensure the highest culinary standards, we limit the number of bespoke events undertaken on any given calendar date.

2.1 Date Reservation Deposit

  • Weddings & Landmark Galas: A non-refundable booking deposit of £500.00 (or 25% of the estimated contract sum, whichever is greater) is required to secure the chef team, service brigade, and event date.
  • Corporate & Private Milestone Events: A non-refundable booking deposit of £250.00 is required at the time of contract execution.

2.2 Provisional Date Holds

Provisional holds may be placed upon request for a maximum of 7 business days. If the deposit and signed booking form are not received within this window, the date will be released to other prospective clients without notice.

Section 3.0

3. Pricing Structure & Payment Schedules

All prices are quoted in Pounds Sterling (£ GBP) and include all preparation, cooking, onsite staffing, and standard table clearing services as specified in the agreed schedule.

3.1 Payment Milestones

Initial Deposit: Due upon booking confirmation to secure event date.
Interim Payment: 50% of the total estimated balance due 60 days prior to the event date.
Final Balance: Remaining balance based on finalized headcounts due 14 days prior to the event date.

3.2 Late Payments

Failure to settle the final invoice within the stipulated 14-day pre-event window may result in the suspension of culinary provisioning, staffing allocations, and cancellation of the catering service without refund of deposits.

Section 4.0

4. Headcounts & Final Deadlines

Accurate headcounts are vital to securing fresh, locally sourced Northern Irish provenance and orchestrating kitchen production.

4.1 Final Headcount Lock-In

The final guaranteed guest headcount must be submitted in writing no later than 14 calendar days prior to the event date. This confirmed number represents the minimum billing baseline; no reductions in charge can be made for guests who do not attend on the day.

4.2 Late Additions

Increases in guest numbers made within 14 days of the event will be accommodated where kitchen capacity and supplier sourcing permit, and will be charged at the agreed per-person rate plus any applicable express provisioning fees.

4.3 Minimum Order Thresholds

Certain menu tiers, evening hog roasts, and canapé packages carry minimum guest headcount requirements (typically 30–50 guests depending on package selection). If actual numbers fall below the threshold, billing will default to the agreed minimum package value.

Section 6.0

6. Cancellations & Postponements

In the event that the Client must cancel or reschedule their booked catering services, notice must be provided in writing via email to contact@fourwind.co.uk.

6.1 Cancellation Fee Schedule

More than 90 Days: Forfeiture of the initial deposit only; all other prepayments refunded.
31 to 90 Days: Deposit retained + 50% of the total contract value charged.
15 to 30 Days: Deposit retained + 75% of the total contract value charged.
14 Days or Less: 100% of the total contract value charged (due to committed food stock, bespoke ordering, and locked staff rosters).

6.2 Event Date Postponement

If an event is postponed with more than 60 days' notice, we will make every reasonable effort to transfer all deposits to a mutually agreed new date within 12 months, subject to calendar availability and prevailing menu rates.

Section 7.0

7. Staffing, Timings & Venue Access

Flawless execution requires adequate kitchen access, utility provisions, and adhered service timelines.

7.1 Venue Access & Kitchen Utilities

The Client or venue manager must provide our culinary team with unimpeded access to the preparation area, potable running water, and adequate electrical supply at least 2.5 to 3 hours prior to the scheduled service start time.

7.2 Schedule Adherence & Service Delays

We design serving timelines to deliver each course at peak culinary perfection. Significant delays caused by speeches, ceremonies, or third-party scheduling that exceed 45 minutes past the agreed serving time may result in additional staff overtime charges (£25.00/staff member/hour) and could compromise the optimal texture and presentation of temperature-sensitive dishes.

Section 8.0

8. Equipment Hire & Damage Liability

All premium tableware, bespoke cutlery, Riedel glassware, presentation boards, chaffing units, and linen supplied by Four Winds Catering remain the property of the Caterer or our designated hire partners.

8.1 Breakages & Loss

The Client accepts full financial responsibility for any loss, severe damage, or deliberate breakage of hired tableware, glassware, presentation equipment, or linen caused by event guests, invoiced at direct replacement cost.

8.2 Venue Property

Our staff maintain utmost respect for event venues, historic estates, and private residences. The Caterer maintains comprehensive £5,000,000 Public & Employers' Liability Insurance coverage.

Section 9.0

9. Food Hygiene & Leftovers Policy

In strict accordance with the Food Safety (Northern Ireland) Order 1991 and UK Environmental Health hygiene standards:

Section 10.0

10. Force Majeure & Liability Cap

Neither party shall be held liable for any failure or delay in fulfilling obligations where such failure arises from events beyond reasonable commercial control ("Force Majeure Event"), including acts of God, severe weather warnings preventing transport, regional power grid failures, government restrictions, or sudden venue structural failure.

10.1 Maximum Financial Liability

Except in cases of death or personal injury caused by proven negligence, the total aggregate liability of Four Winds Catering arising out of or in connection with any contract shall not exceed the total sum actually paid by the Client for that specific event.

Section 11.0

11. Governing Law & Jurisdiction

These Terms, along with all catering proposals, booking agreements, and any disputes or claims arising out of them, shall be governed by and construed in accordance with the Laws of Northern Ireland. The courts of Northern Ireland shall have exclusive jurisdiction to settle any dispute or legal claim.
